Clinical Wellbeing Services is a trading name of This Can Happen Ltd (“we”, “us”, “our”), a company registered in England and Wales under company number 12290394, with its registered office at 19-20 Bourne Court, Southend Road, Woodford Green, Essex, IG8 8HD, United Kingdom. We are the data controller for the personal data described in this notice.

This notice applies to the website at clinicalwellbeingservices.com and to enquiries you make to us about our services. It should be read alongside any other privacy information we give you at the time we collect your data, for example the information provided to individuals when they are referred into our clinical services.

2. Personal data we collect

When you contact us. If you email us or otherwise get in touch, we collect the information you choose to give us, such as your name, email address, telephone number, organisation and job title, and the content of your enquiry and any subsequent correspondence.

When you visit this website. This website does not use cookies, analytics or tracking technologies. Our hosting provider (Vercel Inc.) processes limited technical information, such as your IP address, browser type and the pages requested, in server logs in order to deliver the site and keep it secure.

Sensitive information. Please do not include sensitive information, such as details of your health or that of others, in a general enquiry. Where clinical support is provided, health information is handled under the confidentiality and clinical governance arrangements explained to individuals at the point of referral. It is not collected through this website.

3. How and why we use it

We use personal data for the following purposes and on the following lawful bases:

  • To respond to your enquiry and discuss your organisation’s requirements, because it is in our legitimate interests to respond to people who contact us, and where relevant to take steps at your request before entering into a contract.
  • To provide and administer our services to your organisation, because it is necessary for the performance of a contract with you or your organisation.
  • To operate, secure and improve this website, because it is in our legitimate interests to keep our website available and secure.
  • To comply with our legal obligations, such as accounting requirements or lawful requests from regulators.

We do not use your personal data for automated decision-making or profiling, and we do not sell it to anyone.

4. Clinical services and confidentiality

Where employees access therapeutic support through their employer, all therapeutic relationships remain strictly confidential between clinician and client. Identifiable information is shared only where consent is provided or where safeguarding obligations require it. Employers receive aggregated, non-identifiable reporting only, and no individual employee can be identified from it.

Full details of how clinical information is collected, stored and shared are provided to individuals at the point of triage, before any therapeutic work begins.

5. Who we share data with

We may share personal data with:

  • the trusted clinical partners and accredited practitioners who deliver our services, under contractual confidentiality and data protection obligations;
  • service providers who support our business, such as website hosting, email and IT systems, who act only on our instructions;
  • professional advisers, including lawyers, accountants and insurers, where necessary;
  • regulators, law enforcement agencies or courts where we are required to do so by law, or where necessary to protect someone’s vital interests.

6. International transfers

We aim to store and process personal data in the United Kingdom. Some of our service providers, including our website host, may process data in other countries. Where your organisation becomes a client, we keep the personal data needed to manage that relationship for its duration and afterwards for as long as required to meet our legal, accounting and insurance obligations, typically up to six years after the relationship ends. Technical server logs are retained by our hosting provider for a short period for security purposes.

We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. This website is served over an encrypted connection (HTTPS), and access to personal data is limited to those who need it to carry out their role.

9. Your rights

Under UK data protection law you have the right to:

  • request access to the personal data we hold about you;
  • ask us to correct data that is inaccurate or incomplete;
  • ask us to erase your data in certain circumstances;
  • ask us to restrict how we use your data in certain circumstances;
